Document Scanning

The change from paper to electronic documentation is often frightening. CRIM provides the service and expertise to make this change simple and seamless. Whether it be for litigation support or electronic medical records, CRIM has the equipment and experience to handle all of your document scanning needs.

Some of the benefits of going to a paperless office are:

  • Improve office work flow
  • Access to records by remote locations
  • Ease of record retrieval
  • More robust disaster recovery plan

Here is the basic process

  • 1. Your documents are prepared for a high speed scanner. This involves removing bindings like staples and paper clips. Irregular sized documents are reformatted to a standard size. The process also includes putting pages in the proper order and locating any missing ones.
  • 2. The most straight forward step is the actual scanning. It is crucial that the images created are easy to read. This is closely monitored for quality.
  • 3. Once documents are scanned, one or more index fields are added to every image. These index fields are how you will find your documents in the future.
  • 4. The scanned documents are initially stored on the server hard drive when they are added to our system. Document copies are then written to DVD/CD. The scanned documents may also be hosted on a CRIM server and easily retreived by you with a secure pass word protected access.
